| What are my first steps to organize a group tour for the May Day 2010 event? |
First you should make sure that you have a group of 40 or more people who are prepared to make a deposit. Second, you should contact Jannique Stewart to register your group for the event. After you have registered your group, contact ADI at (800) 369-4986 to begin planning your customized tour package. Your group will have a designated ADI account manager who will take care of all of your tour planning. Please do not hesitate to contact your ADI account manager for assistance. He or she will be happy to assist you during every tour planning phase.

Will the event be handicapped accessible?
|
Yes, the event will be handicapped accessible. If you will need a coach with this special amenity, please advise your ADI account manager as soon as possible.

How many seats will be available on a motorcoach for my group?
|
The number of seats available will depend on the size of the coach requested. Standard motorcoaches range from 47to 59 passengers. Depending on the distance from DC, the motorcoach company may send a relief driver on the motorcoach. In this instance, there would be fewer seats on the coach to accommodate the driver's sleeping bunk.

What amenities will be available on the motorocach?
|
The motorcoaches will offer fully-equipped lavatories, DVD capability and reclining seats. |

How early can my group check into the hotel?
|
Most hotels do not allow check-in until 3:00pm. Your ADI Account Manager will design your custom itinerary to meet this requirement if necessary or request an earlier check-in.

What can my group do on Friday upon arrival into DC?
|
ADI recommends arriving in DC on Friday morning. Your Tour Manager will meet your group upon arrival and take your group to historic sites, monuments and memorials, etc. to enhance your trip to our Nation's Capital.

Will there be a payment plan for my tour package?
|
Yes, ADI will allow your group to make two payments for your package. A 50% deposit of your total package price will be due by March 1st. The remaining balance will be due by April 1st.

If my group wants to stay an extra night, can we do this?
|
Yes, if hotel accommodations are available. Contact your ADI Account Manager to make arrangements to extend your stay.

How is the Per Person Cost determined?
|
The cost per person is determined by taking the total package price and dividing it by the total number of paid passengers per motorcoach. The more passengers you have, the less the cost per person will be. The price per person will decrease if you increase your occupancy per hotel room.

Can my price per person change once I have booked my trip?
|
Yes. If the total number of paid passengers decreases, the cost per person will increase. The reason for this is because your fixed cost (i.e., transportation) will be divided by less people. We suggest that you advertise a slightly higher "approximate" cost to your group. When it is time for final payment, it is always easier to tell them that the price is actually lower than advertised instead of telling them that you need additional money.

Does ADI offer Travel Protection Insurance?
|
Yes, optional travel protection insurance is available for an additional cost. All Group Leaders/Bus Captains will be provided with a brochure which lists the additional coverage options and costs. Travel Protection Insurance is offered on an individual basis. Please advise your ADI Account Manager as to how many applications you need.

How should we pack?
|
Springtime in DC is typically a beautiful time to visit, but we recommend that you come prepared for all weather conditions (i.e., umbrella, poncho, jacket). There is also a lot of walking in DC so bring comfortable shoes!

What if my package requires Airfare?
|
If your group would prefer to fly, we strongly recommend flying as a group. If so, ADI will take care of your flight arrangements and arrange to have a motorcoach meet your group at the airport upon arrival. If your group members want to fly individually, each member will be responsible for his/her own flight arrangements and transfers to the hotel.

Can ADI provide other custom designed items in addition to the t-shirt in my package?
|
Yes! ADI will also custom-design fanny packs, baseball caps and tote bags for your group.
